Add Labor

Labor can be added to a work order to track the work done and the associated costs.

  1. Open the work order.
  2. Click Labor from the functions drop-down list.

  1. Select Actual at the top of the Labor panel.

  1. Select either Employee or Contractor in the Employee/Contractor/Entity/Task panel.

NOTE: If a contractor's license is expired, the contractor shows up in red.

The employees or contractors show in a list in the Employee/Contractor/Entity/Task panel. The Search By drop-down list filters the list. The Name and Predefined options are available for both Employee and Contractor. Hierarchy is available for Contractor. Group, Crew, and My Crew are available for Employee. Your selection is remembered, so any time you return to this page the Search By field is set to whatever you selected last.

  • Select Name to search the list by keyword (group keyword for employees or contractor keyword for contractors). Once you select Name, the page reloads. Enter the keyword in the Keyword field and click Find. Select the desired employee or contractor by selecting the check box next to the name.
  • Select Predefined to view the estimated labor for employees and contractors that the administrator has configured for all work orders of this type. Once you select Predefined, the page reloads and the predefined labor shows. Select the desired employee or contractor by selecting the check box next to the description.

TIP: You can also add predefined labor to the work order by transferring it from estimated to actual. See Move Estimated Labor to Actual for more information.

  • Select Hierarchy to view the contractors organized in a hierarchy that is configured by the administrator. Once you select Hierarchy, the page reloads and the domains show in a drop-down list. Select a domain to view the hierarchy configured for that domain. Click the plus icon next to a hierarchy category to expand it. Click the desired contractor to highlight it, then click Select at the top of the panel.
  • Select Group to view employees based on domain groups. Once you select Group, the page reloads and a Select Group drop-down list shows. Select the group from that list to view employees who belong to the group. Select the desired employee by selecting the check box next to the name.
  • Select Crew to view employees based on crews that are viewable to the Submit To user. Once you select Crew, the page reloads and a Select Crew drop-down list shows. Select the crew from that list to view employees who belong to the crew. Select the desired employee by selecting the check box next to the name.
  • Select My Crew to view employees based on the crews that are viewable to you. Once you select My Crew, the page reloads and a Select My Crew drop-down list shows. Select the crew from that list to view employees who belong to the crew. Select the desired employee by selecting the check box next to the name.

  1. Select the employee or contractor using one of the options above.
  2. If you wish to associate the labor to an asset, select the Assets option button and then select the asset in the bottom half of the Employee/Contractor/Entity/Task panel. If desired, you can click Highlight Selected Assets to highlight it on the map.
  3. If you wish to associate the labor to a task, select the Tasks option button and then select the task in the bottom half of the Employee/Contractor/Entity/Task panel.

NOTE: If you choose to associate the labor with a task, the dates and times associated with the task automatically populate in the start and finish dates of the Details panel. This can be changed if needed.

  1. Enter information in the Details panel.

NOTE: If you are adding labor provided by a contractor, enter the total cost of the labor in the Fixed Cost field. The system does not calculate the cost by the number of Hours/Units entered. For example, if a contractor worked 5 hours at a rate of $20 per hour, you enter 100 in the Fixed Cost field.

  1. Click Save.
